Privacy

Three things about a person, and nothing more:

• Name — so officers know whose hours they are approving.
• Email address — to sign in and to send club notifications.
• Graduation year — optional, and only so requirements can be tracked by class. Advisors have none.

Beyond that, we store what members actually do in the app: hour entries, event RSVPs and check-ins, dues status, fundraiser orders, announcements, suggestions, and meeting notes.

Chapter is built for high school clubs. You must be 13 or older to create an account. Chapter is not directed to children under 13, and we do not knowingly collect personal information from them.

We don't ask for a birthdate, so we don't track anyone's age. If we learn an account belongs to a child under 13, we delete the account and its data. If you are a parent or educator who believes a child under 13 has an account, email us and we will remove it.

• Date of birth
• Home address or phone number
• Student ID or district identifier
• Grades, discipline records, or any part of a student file
• Location data

This is a design decision, not an oversight. The less we hold, the less there is to lose, and the easier it is for an advisor to say yes.

• Members see their own hours, dues status, and progress — plus club-wide things like events and announcements.
• Officerssee the club roster and their members' hours, dues, and fundraiser records, because that is the job.
• Advisors see everything in their own club and have final say on approvals and removals.
• Nobodysees another club's data. Ever. Every database query is filtered by club membership at the database level, not just hidden in the interface.

Two things are held tighter than the rest: proof photos attached to hour entries are visible only to the member who uploaded them and their officers, never in a public location; and anonymous suggestions are stored with no author attached at all, so not even an officer — or we — can trace who wrote one.

• We do not sell or rent data. There is no one to sell it to.
• We do not run ads, and there are no third-party ad trackers.
• We do not train AI models on your club's data.
• We do not share club data with your district, another school, or any other club.

Chapter runs on a small number of well-known providers, each doing one job: Supabase stores the database and handles sign-in, Vercel hosts and serves the app, and Resend delivers email notifications. Chapter is free and takes no payments, so there is no payment processor and no billing data anywhere in the system.

Dues and fundraiser money are trackedin Chapter but never collected through it — that cash keeps flowing through your school's activity fund exactly as it does today.

Club data is kept for as long as the club uses Chapter. Nothing expires or is deleted automatically — a chapter's service history carries across school years and officer handoffs on purpose, because losing it every June is the problem Chapter exists to solve.

Starting a new term does not delete anything. Past hours stop counting toward the new requirement but stay in every member's history.

Two things do age out: encrypted database backups are kept for 90 days and then discarded, and deleted data clears our backups within that same window.

A member can leave a club at any time. An advisor can remove any member and can export or delete all of their club's data — deletion is real deletion, not a hidden flag, after a 30-day grace window in case of an accident.
